When you share information with us, for example by making a treatment booking, we can make our services even better to show you more relevant products and treatments, to help you get the best possible treatment. As you use our services, we want you to be clear how we are using information and the ways in which we protect your privacy.

Our Privacy Policy Explains:
1). What information we collect and why we collect it.
2). How we use that information.

We have tried to keep it as simple as possible. Your privacy matters to Smilepod so whether you are a new patient or a long-time user, please do take the time to get to know our practices, and if you have any questions please contact us. 

We collect minimal information on our users and patients. We collect information in two ways:
Information you give us:
For example, to book an appointment on-line you need to create a patient account. When you do so, we will ask for personal information, like your name, email address, telephone number or credit card etc.

Information we get from your use of our services:
We may collect information about the services that you use and how you use them, like when you visit one of our studios.

Log information:When you use our website and or iPhone App we do not collect any personal or identifying information on you or the use of our website or App.Cookies: We do collect anonymous basic details of how you used our service, such as your search queries and which pages you access.

Telephony: We do not directly keep telephony log information like your phone number, calling-party number, forwarding numbers, time and date of calls, duration of calls, SMS routing information and types of calls etc.

Location information: When you use our App although you can navigate to our studios using Smilepod maps we do not keep any information on you or your location. Our App has no location logging or tracking components.

It should be quite clear from the above that our iPhone App collects no personal or anonymous data what-so-ever. Our website uses cookies to allow us to improve our services. We DO NOT sell, share or rent user or patient information with any third parties. 

We use the information we collect from all of our services to provide, maintain, protect and improve them, to develop new ones, and to protect Smilepod and our patients.When you contact Smilepod, we may keep a record of your communication to help solve any issues you might be facing. We may use your email address to inform you about our services, such as letting you know about upcoming changes or improvements.

We use information collected from cookies and other technologies, to improve your user experience and the overall quality of our services. For example, by saving your language preferences, we will be able to have our services appear in the language you prefer.

We will ask for your consent before using information for a purpose other than those that are set out in this Privacy Policy.


When you first come into Smilepod for treatment we ask you to fill in a Patient Questionnaire, this is optional and all information provided is treated in strict confidence. All patient information is ONLY stored electronically and once your details have been entered onto our central server all paper copies are shredded. Our electronic patient records are NOT shared, rented or sold to any other organization and and 100% confidential. 

We do not share personal information with companies, organizations and individuals outside of Smilepod unless one of the following circumstances apply:With your consent – We will share personal information with companies, organizations or individuals outside of Smilepod when we have your consent to do so. This would only be done for clinical / treatment reasons.

For legal reasons – We will share personal information with companies, organizations or individuals outside of Smilepod if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to:

Meet any applicable law, regulation, legal process or enforceable governmental request. Detect, prevent, or otherwise address fraud, security or technical issues. Protect against harm to the rights, property or safety of Smilepod, our users or the public as required or permitted by law.

If Smilepod is involved in a merger, acquisition or asset sale, we will continue to ensure the confidentiality of any personal information and give affected users notice before personal information is transferred or becomes subject to a different privacy policy.


We work hard to protect Smilepod and our users from unauthorized access to or unauthorized alteration, disclosure or destruction of information we hold. In particular:

We encrypt our patient records system using a private VPN and many of our services using SSL.We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorized access to systems.

We restrict access to personal information to Smilepod employees, and contractors who need access to the information to undertake the services offered by Smilepod.


Our Privacy Policy may change from time to time. We will not reduce your rights under this Privacy Policy without your explicit consent. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent notice (including, for certain services, email notification of privacy policy changes). We will also keep prior versions of this Privacy Policy in an archive for your review.
